At Aroma Senses, Alison Beavan holds only data that is of legitimate interest.
I hold personal information in order to fulfil our “Contract” with you “the client” to provide treatment.
When booking an appointment through Aroma Senses, your name and contact number may be held on an online calendar that is password protected. This is accessible only by myself, Alison Beavan. Your name and phone number may also be in my hardcopy diary which is only accessible by myself.

Your information is not shared with anyone else unless you have specifically requested me to do so, when required to do so by law, if I am concerned about your safety or the safety of another.
Your details are not held for any longer than is necessary. I am required by law to keep notes for seven years after the last visit for an adult; or up to the age of 21 plus seven years for a child; or for 15 years rather than 7 in the case of a child or adult who lacks capacity.
All paper records are held under lock and key. All electronic data is password protected.
Aroma Senses / Alison Beavan is happy to answer any questions or concerns clients or therapists may have about the information held on them.

Your rights; -

You have the right to opt out of marketing at any time. Your consent to receive marketing information from me is given when you ask us to let you know about future events, news and information.
You have the right to prevent automated decision making and profiling, Aroma Senses does not make any automated decisions or do any profiling.
You have the right to access any data Aroma Senses holds on you. Please apply in person, in writing or by phone and this will be made available to you within 28 days of receipt of your request.
You have the right to have any inaccuracies in the information held on you corrected. Please let me know in person, in writing or by phone of any inaccuracies you would like corrected.
If you have any concerns or questions, please discuss them with me first.

Therapist Rights; -

I have to keep your records of treatment for a certain period as described above, which may mean that even if you ask me to erase any details about you, I might have to keep these details until after that period has passed.

If you don’t agree to me keeping records of information about you and your treatments, or if you don’t allow me to use the information in the way I need to for treatments, then I may not be able to treat you.

Covid 19 Update

When massage sessions resume, there will be an additional declaration form to complete stating that:

  1. There has not been in contact with anyone with Covid-19, in the last 14 days, to your knowledge
  2. There have not been any symptoms: – dry cough, temp over 37.8°C, loss of smell and/or taste
  3. Should the client contract the virus you must inform the therapist as soon as possible
  4. Should the client contract the virus we are obliged to inform NHS Track & Trace

There will also be a signed declaration from the therapist stating the same declaration

All first-time and follow-up consultations will be carried out via rather than face to face

NB: There is no variation required to your GDPR policy statement. However, there is a relevant clause on the consent form regarding NHS Track & Trace.
